CLASS SERIES CONCEPT

The UW Medicine Payroll Services department provides centralized support for HR and payroll inquiries and transactions within UW Medicine. Positions in this class series provide specialized payroll transactional services.

BASIC FUNCTION

Reporting to the UW Medicine Payroll Specialist Supervisor, the UW Medicine Payroll Specialist will perform as a member of a team dedicated to executing payroll transactional functions. The UW Medicine Payroll Specialist is the first point of contact for questions and walk-in services for UW Medicine employees.

DISTINGUISHING CHARACTERISTICS

The UW Medicine Payroll Specialist has responsibility for executing designated payroll transactional processes, including payroll inputs, retroactive payments, overpayments, time tracking and report reconciliation and addressing escalated customer inquiries. Standard operating procedures typically exist for transactions performed by the UW Medicine Payroll Specialist.

TYPICAL WORK

Provide extensive insight and direction related to UW Medicine payroll transactional processes and ensure completion of payroll transactions in accordance with established standards. Transactional processes include:

Payroll Inputs
Time Entry/Corrections
Absence Entry/Corrections
Overpayments (including reporting and coordination with employees and the Integrated Service Center (ISC))
Retroactive Payments
Payment Adjustments
Final Payments
Support development of internal controls and management reports based on state and federal tax regulations;

Identify process improvement opportunities to deliver enhanced customer services to the organization;

Support timely resolution of issues/inquiries;

Coordinate with ISC resources to address escalated inquiries as required;

Contribute to an outstanding customer-service environment, including strong collaboration with other team members and subject matter experts;

Utilize ServiceNow to facilitate management of inquiries/issues in accordance with established protocols; and

Perform other duties as required.

MINIMUM QUALIFICATIONS

A Bachelor’s degree in accounting, business administration, computer science, economics, or related field

AND

Two years of experience working in a payroll-related role requiring working knowledge of key payroll transactional processes, accounting standards and taxation requirements and also including one year of experience processing payroll transactions

OR

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
