BASIC FUNCTION
Advise students, University staff and the public on policies and procedures regarding graduation, grades, and the academic record. Evaluate students’ academic record to ensure published degree requirements are met for baccalaureate graduation and make independent decisions to grand baccalaureate degrees based on this evaluation. Maintain and update undergraduate, graduate, and professional students’ academic records.
DISTINGUISHING CHARACTERISTICS
Evaluate student’s academic credentials. Maintain all University students’ academic records. Advise students and University staff about graduation, commencement and academic record policies and procedures such as academic credit, grading and scholarship status. Grant or deny baccalaureate degree.
TYPICAL WORK
Advise students, departmental advisers, other institutions and the public regarding graduation requirements, commencement procedures, graduations senior priority registration and policies and procedures pertaining to the academic record, including information on academic credit, grading, and scholarship status; interpret and apply policies to individual graduation applicants, (i.e., honors, low scholarship, repeated courses, incomplete grading policies).
Act as a liaison between academic and administrative University personnel regarding graduation and academic record policies and problems such as curriculum and time schedule issues, faculty grade report problems and transfer credit procedures.
Evaluate credentials of graduation applicants including a review of the academic record, comparison of the application and record, and final check for completion of all requirements. Calculate grade-point averages.
Grant or deny the baccalaureate degree, notify student of the decision and of the action taken.
Determine eligibility for and record baccalaureate honors to the academic record and diploma. Advise students regarding high scholarship (Dean’s List, College Honors and Departmental Distinction) and ensure accuracy of information in the academic record.
Determine eligibility and record appropriate credit for advance placement and credit by examination.
Perform other duties of Graduation and Academic Records Specialist.
Perform added tasks to assist supervisor.
MINIMUM QUALIFICATIONS
Bachelors degree and two years University office experience or four years increasingly responsible office experience
