Grants Management for Investigators

All University of Washington principal investigators (faculty and non-faculty) who apply for or receive externally funded grants or contracts are required to attend the Grants Management for Investigators workshop no later than twelve months following submission of their first proposal and at least every four years thereafter. More frequent attendance is encouraged to remain current with significant changes in sponsored program policy.

Qualifying faculty and staff must complete the workshop at least once every four years. Principal Investigators who do not fulfill their obligation to attend a GMI workshop may have expenditure authority on their grants withheld until attendance is complete.

Grants Management for Investigators Live Workshop

Audience: New principal investigators and non-PIs actively seeking funding, who have yet to attend a Grants Management for Investigators workshop

Faculty and non-faculty who submit a proposal as UW Principal Investigator for the first time must attend a live workshop or equivalent within twelve months of submitting the proposal via SAGE, if they have not attended one previously. First-time PIs are strongly encouraged to attend a workshop before submitting the proposal.

The live workshop is offered once per year in the fall.

Grants Management for Investigators Online Refresher

Audience: Principal investigators who have previously attended an in-person workshop

After the initial attendance at an in-person workshop, all principal investigators are required to renew their training every four years by either completing the online refresher or attending the in-person workshop. The online refresher highlights compliance requirements, new federal and state regulations, and recent changes to research infrastructure and policy. The material is organized into required and optional modules, each just a few minutes long. The entire course will take no more than forty-five minutes. An attestation page becomes available after all required modules have been viewed. Once you have completed this course, the records are routed from Professional and Organizational Development (POD) to MyResearch Training Transcript (MRTT). It takes between two weeks to a month for your GMI completion record to show up in MRTT (the UW doesn’t have the systems to do this in real-time). Once you have completed the course know that the GMI completion records are in the system and will not hinder grant activity.

Launch Online Refresher

The GMI workshop is designed to help with the fiscal aspects of managing grants. It helps ensure an understanding of the grant process and stay up to date with changes to that process. The workshop covers the entire grant life cycle, which includes

  • Finding funding
  • Developing a proposal
  • Starting the project
  • Managing resources
  • Closing the grant

It also covers who to contact for assistance with managing grants.

GMI is jointly sponsored by the Office of the Provost and the Office of Financial Management. This course is coordinated by Professional & Organizational Development and the Office of Research.

UW Systems that Support the Grant Administration Process

  • SAGE (System to Administer Grants Electronically) is UW’s electronic research administration system.
  • Zipline (HSD IRB review tool): Researchers use Zipline to apply to the Human Subjects Division (HSD) for review of research that includes human subjects.
  • Hoverboard: Electronic IACUC protocol management system.
  • MyResearch: MyResearch provides a personalized, cross-cutting view of various research related activities.
  • GrantTracker: GrantTracker provides up-to-date grant and contract information to UW researchers and staff.
  • My Financial desktop (MyFD): MyFD provides users a convenient means for monitoring budget balances and reconciling transactions.

Other Grant Administration Training

  • Collaborative for Research Education (CORE): Courses focused on research administration.
  • Zipline: On-line learning library for the Institutional Review Board (IRB) application submission system.
  • Required Training: The required training site has a searchable catalog of required trainings when working with animals, human subjects, clinical trials, HIPPA, controlled substances and specific sponsors.

Principal investigators at UW are required to attend GMI. Other UW employees may also attend an in-person workshop when space permits.
